Substitute Teachers

 

Whenever a teacher is to be absent from teaching duties, such teacher shall notify the principal and the personnel office/substitute teacher calling service as soon as possible or shall arrange to have some other responsible person make such notification as early as possible of the teacher's inability to report for work.  The length of the teacher's absence shall be predetermined, if possible.  Said notification shall be made each day of the teacher's absence unless the length of the teacher's absence is predetermined.

 

Substitute teachers shall not be secured directly by either teachers or building secretaries, principals or other staff.  Substitute teachers shall be booked only by the personnel office.  The following procedures, as appropriate, for securing substitute teachers shall be observed:

 

Personal illness, illness in the household, critical illness or death in immediate family or an emergency situation

1.     Contact the Substitute Teacher Calling Service as soon as the need for a substitute teacher is apparent.  Contact should be made two full hours (at a minimum) prior to the starting time of the teacher's school/assignment, or as soon as possible.  The calling service is in operation 24 hours a day and on weekends.

2.     The telephone number for the Substitute Teacher Calling Service is available through the personnel office.  It is confidential and is to be used only for the purpose outlined herein.  It is not for public distribution.

 

Jury duty/subpoena for court appearance

1.     Contact the Substitute Teacher Calling Service and forward a copy of the summons for jury duty/court appearance to the personnel office.

 

Predetermined absence (surgery, funeral, etc.)

1.     In the case of a predetermined absence or an absence of two or more consecutive days, submit a Substitute Teacher Request Form to the personnel office.

2.     The Substitute Teacher Calling Service shall not be used for this type of absence.

 

Personal business days

1.     Personal business days shall be requested in writing by using the Personal Business Day Request Form,  which can be obtained from the building office.

2.     If a substitute teacher is required for a personal business day, both a Personal Business Day Request Form and a Substitute Teacher Request Form, signed by the building administrator, shall be forwarded to the personnel office.

3.     The Substitute Teacher Calling Service shall not be used to arrange for a substitute teacher for this type of absence.

 

Miscellaneous building requests (team staffing, field trips, IEPs, etc.)

1.     Contact the personnel office to check on substitute teacher availability.

2.     Forward a Substitute Teacher Request Form, signed by the building administrator,to the personnel office.

3.     The Substitute Teacher Calling Service shall not be used to arrange for a substitute teacher for this type of absence.

 

Inservices, workshops, meetings and out-of-district conferences

The personnel office will book all teacher substitutes.  Personnel will accept requests for substitutes for workshops, staff development activities and committee meetings only from the staff development office.

1.     All teacher substitutes for in-district workshops, inservices and school committee meetings, and out-of-district workshops will be arranged through the staff development office.  A Substitute Teacher Request Form, signed by the building administrator, shall be submitted to the staff development office.

2.     No in-district workshops, staff development activities or committee meetings requiring substitutes will be scheduled or changed with less than two weeks' notice and the participant list will be established and submitted to the staff development office at lease two weeks before the event. 

3.     Substitutes for out-of-district events involving fewer than five district participants will be booked by the staff development office with principal/division head approval and no less than seven days' notice to staff development, providing substitutes are available.

4.     Once booked for a specific workshop or activity on a specific day, a participant may not elect to attend a different workshop or activity.

5.     The staff development office will confirm with scheduled participants the date, time and intent to attend two weeks before  --  but not more than three weeks before  --  the workshop, activity or meeting.

6.     Committee meetings will be confined to after school except by permission of the appropriate division head, who must clear the date before approval through the staff development office.  (Examples of committee meetings that might have to be held during the school day include:  committees who wish to visit a program in another school, hear a speaker, or convene a meeting of several hours' duration.  In some cases, committees whose memberships span several grade levels may encounter unique scheduling problems which man occasionally be solved only by scheduling during the school day.)

 

Substitutes for Non-certified Personnel

Substitute Secretaries and Substitute Paraprofessionals

Substitutes for secretaries and paraprofessionals shall be obtained by the building principal/department head from an approved substitute list as provided by the personnel department.

 

Substitute Custodians

Substitutes for custodians shall be obtained by contacting the Custodial Substitute Caller Service.  During the school year, the Custodial Substitute Caller is available between 8:00 a.m. and 4:00 p.m., excluding a 12:00 noon to 1:00 p.m. lunch hour,  Monday through Friday.  Summer hours will be 8:00 a.m. to 12:00 noon.  The telephone number for the Custodial Substitute Caller is available through the personnel department. 

 

Substitute Bus Drivers

 

Substitute bus drivers shall be obtained by the supervisor of transportation in compliance with state of Michigan laws and regulations of the Michigan Department of Education.
